This Privacy Policy describes how the Macke Institute of Canine Therapy ("we," "us," or "our"), a Nebraska-based canine physical therapy and animal rehabilitation business, collects, uses, stores, and protects information about our clients and their animals. This policy applies to information collected through our website at www.mackeinstitute.com, our online client intake system, the listed third-party systems, and through in-person interactions. By using our services or submitting information through our systems, you agree to the practices described in this policy.

1. Information We Collect
A. Website Forms (via Wix)
Our website is built and hosted on the Wix platform. When you submit information through a form on our website, that information is stored within Wix's platform. Wix may also automatically collect certain technical information about website visitors, such as IP address, browser type, device information, and pages visited. B. Client Intake and Scheduling (via IntakeQ by PracticeQ)
We collect client and patient information through IntakeQ, our online intake and scheduling platform. Information collected through IntakeQ may include:

D. Payment Information (via Square)
We process and store payment information through Square, a PCI-DSS compliant payment processor. Information collected through Square may include:

E. Credit Card Authorization
Prior to storing payment information for automatic billing, we require clients to complete a written Credit Card Authorization Form. By signing this form, you authorize the Macke Institute of Canine Therapy to:

Securely store your credit card information via Square

Charge your card for services rendered, products purchased, or applicable cancellation fees as outlined in our Service Agreement

Send electronic receipts to the email address on file
You may revoke this authorization at any time by providing written notice. Revocation will not affect charges already incurred.
2. How We Use Your Information
We use the information we collect for the following purposes:

3. Third-Party Service Providers
We do not sell or rent your personal information. Depending on the nature of your interaction with us, your information may be shared with the following third-party service providers to facilitate our business operations. Each provider is expected to handle your data in accordance with their own privacy policies and applicable law.

Google Workspace (including Gmail, Google Calendar, Google Contacts, Google Voice, Google Sheets, and related apps) – business communication, scheduling, and internal data management

Apple Apps (including Apple Contacts and related applications) – contact management and business communication
D. Document and Workflow Management

Microsoft Apps (including Word and Excel) – document creation and data management that may include client information

Adobe – document management and processing that may minimally include client information

Document Studio by MuleSoft – automated generation of referral and clinical documentation

Airtable – previously used for client data storage and workflow automation; may retain historical client data
E. Workflow Automation
We use Zapier, an automation platform, to connect and transfer data between several of the applications listed above. As an intermediary, Zapier may process personal information as it passes between platforms but does not independently store or use your data. Push by Techulus is used in connection with Zapier to deliver internal staff notifications and alerts. Neither Zapier nor Push by Techulus is an independent recipient of your personal data.
F. Veterinary Coordination
We share relevant treatment information with your pet's primary veterinarian or referring veterinarian to coordinate care.
G. Social Media Platforms
With your prior written consent, as obtained through our client intake agreement, treatment photos or videos that do not include personally identifiable information may be posted on our social media platforms for marketing and educational purposes. These platforms may include:

Each platform's data practices are governed by their respective privacy policies. We will not post content that identifies you or your pet by name without your explicit permission.
H. Legal Requirements
We may disclose your information if required to do so by law, court order, or governmental authority, or if we believe in good faith that such disclosure is necessary to protect the rights, property, or safety of our business, our clients, or others.
4. Data Retention
We retain client and patient records for a minimum of five (5) years following the last date of service, or as otherwise required by applicable Nebraska law. Payment records are retained in accordance with Square's and QuickBooks' data retention policies and applicable tax and financial recordkeeping requirements. Data stored in third-party platforms is subject to those platforms' own retention practices. You may request deletion of your personal information, subject to our legal retention obligations, by contacting us using the information in Section 7.
5. Data Security
We take reasonable administrative, technical, and physical measures to protect your personal information from unauthorized access, disclosure, alteration, or destruction. These measures include:

8. Children's Privacy
